Position Overview
This role offers a warm and welcoming first impression to patients and guests, ensuring smooth check-in and check-out processes. You will collaborate closely with clinical teams and business offices to verify patient information, collect necessary documentation, and manage payments efficiently. Your efforts will contribute to maintaining excellent patient flow and satisfaction within a busy healthcare practice serving the Pacific Northwest region.
Key Responsibilities
- Maintain a safe, clean, and organized work environment, adhering to safety and infection control standards.
- Registration Duties:
- Prepare all visit paperwork accurately and on time.
- Verify and scan patient ID and insurance cards into electronic systems.
- Collect signatures on financial, HIPAA, and arbitration forms as required.
- Collect co-pays, deductibles, and balances due.
- Update patient demographic information in the Practice Management system.
- Enter required MACRA measurements into the EHR upon patient arrival.
- Scan and catalog front office documents into patient charts.
- Schedule follow-up and new patient appointments, including walk-ins.
- Coordinate patient pick-up with preferred facilities.
- Customer Service:
- Communicate clearly and warmly, providing patients with necessary information and directions.
- Strive to exceed patient satisfaction goals and contribute positively to patient experience reports.
- End of Day Responsibilities:
- Balance cash, checks, and credit collections against reports.
- Submit daily collections to the billing office.
- Cross-Functional Support:
- Collaborate with registration, telephone, and clinical staff.
- Provide coverage for check-in or check-out during high volume or staff absences.
- Assist patients with form completion as needed.
- Practice Compliance:
- Protect patient confidentiality at all times.
- Ensure HIPAA Notice of Privacy Practices is displayed and distributed appropriately.
- Comply with all relevant medical practice regulations, including HIPAA and OSHA.
- Perform additional duties as assigned.
Qualifications
- Preferred experience with insurance verification (HMO, PPO).
- Previous front desk experience is advantageous.
- At least one year of healthcare experience preferred.
- Strong understanding of insurance verification processes.
- Excellent customer service skills with a friendly and professional demeanor.
- Demonstrated leadership, teamwork, and cooperation abilities.
- High ethical standards and personal integrity.
- Effective communication skills, both oral and written.
- Bilingual skills are a plus.
Education
- High school diploma or GED required.
All candidates must successfully complete a physical evaluation, drug screening, and background checks prior to employment. Compliance with regional health mandates, including COVID-19 vaccination requirements, is mandatory.
