Job Summary: This role is responsible for coordinating the scheduling of chemotherapy, blood, iron, hydration, antibiotics, and other hematology/oncology-related infusions, along with general infusion treatments. The position also includes front office duties such as patient check-in and phone management. The schedule is Monday through Friday with no weekends or holidays.
Fiscal Responsibilities: Collaborate with Medical Oncology, Radiation Oncology, Pharmacy, Laboratory, and other providers to efficiently schedule infusions and office visits. Ensure schedules optimize productivity and enhance patient experience. Maintain documentation and communication priorities as directed. Manage department supplies and understand authorization processes to confirm treatments are approved before scheduling.
Quality Assurance: Support leadership in scheduling strategies to maximize infusion center capacity and deliver cost-effective, quality care. Facilitate patient care planning and documentation as requested by providers and ancillary departments. Demonstrate problem-solving skills, creativity, multitasking, and teamwork. Stay current with policy updates and scheduling guidelines, including chemotherapy and hematologic treatments.
Patient Satisfaction: Promote a positive patient experience by providing timely responses and service recovery when needed. Maintain a professional, quiet environment and excellent guest relations with patients, visitors, providers, and coworkers. Coordinate patient flow and communicate effectively with oncology and nurse navigation teams to ensure seamless treatment experiences.
Patient Safety: Schedule and communicate care needs as set by providers. Maintain accurate and organized infusion and lab schedules, update patient demographics, and adhere to HIPAA and social media policies. Perform front office tasks including phone answering, patient check-in, copayment collection, and demographic updates.
Professional Growth: Share knowledge and skills with colleagues through orientation and cross-training. Demonstrate leadership and serve as a resource for peers. Identify learning needs and collaborate with management on development opportunities. Participate in departmental goal setting and maintain understanding of laboratory and scheduling requirements related to chemotherapy and hematologic care.
Customer Service: Build and maintain strong relationships with patients, staff, providers, and ancillary departments. Additional Responsibilities: Make clinical decisions regarding infusion schedules, chemotherapy regimens, lab requirements, and physical assessments. Collaborate with nursing, pharmacy, and providers to optimize patient infusion schedules. Exhibit professional communication, a positive attitude, and initiative to solve problems independently. Requires foundational knowledge of oncology management, chemotherapy treatment plans, hematologic care, laboratory and symptom management, imaging, insurance authorizations, clerical duties, and computer proficiency.
Education and Experience:
- High school diploma or equivalent
- LPN or Medical Assistant preferred
