General Summary
As an Access Specialist, you will be the first point of contact for patients and their representatives, guiding them through the registration process with clear communication and attention to detail. Your responsibilities include verifying insurance information, securing necessary consents, and ensuring compliance with federal and regional healthcare regulations.
Essential Duties and Responsibilities
- Greet and interview patients or their representatives to collect accurate demographic and insurance data for medical and financial records.
- Obtain proper admission consent for treatment authorization, information release, and payment guarantees.
- Verify insurance coverage electronically and resolve any discrepancies before finalizing registration.
- Inform patients of their rights in accordance with federal, state, and accreditation standards.
- Respond promptly and effectively to patient inquiries, maintaining confidentiality and professionalism.
- Collect applicable copayments and direct patients to appropriate treatment areas.
- Ensure all patient information is accurately entered and documentation is complete, including pre-authorizations and pre-certifications when required.
- Maintain compliance with Medicare Secondary Payor rules, HIPAA privacy standards, patient rights, consent protocols, EMTALA, and accreditation requirements.
- Provide patients with financial assistance information and produce estimates and Advance Beneficiary Notices as needed.
- Keep workspaces organized and maintain a professional demeanor under pressure, meeting attendance and punctuality standards.
Education
A high school diploma or equivalent is required. Preference is given to candidates with certificates or diplomas in Medical Front Office, CNA, or Medical Terminology.
Experience
At least six months of experience in office, call center, customer service, or healthcare settings is necessary. Proficiency with computers and standard office equipment is essential.

Mental/Physical Requirements
The role demands strong concentration, attention to detail, and the ability to perform tasks under time constraints. Frequent computer use with interruptions is expected. Physical requirements include standing, walking, sitting, reaching, assisting and transporting patients in wheelchairs, and lifting up to 10 pounds.
Working Conditions
Standard office environment with occasional exposure to noise, fumes, chemicals, hazards, and infectious diseases. Shift work is required.
