General Summary
The Appointment Coordinator manages patient scheduling, assists with training and mentoring new staff, maintains accurate contact information, and handles patient account inquiries. This position supports the call center's goal of increasing patient appointments and fostering positive relationships.
Essential Duties and Responsibilities
- Support call center operations to improve patient satisfaction and loyalty.
- Project a professional and positive image during phone interactions.
- Handle distressed callers with patience and empathy.
- Resolve patient concerns by clarifying issues, identifying solutions, and escalating when necessary.
- Contribute to team goals and participate in ongoing educational opportunities.
- Maintain office equipment functionality and report issues promptly.
Education
High school diploma or equivalent required. Preferred candidates have graduated from an accredited medical receptionist or similar program or have two years of experience in healthcare or customer service.
Experience
At least two years of experience in a general medical office or call center environment is required. Clinic experience is preferred.
Certification/License
Medical secretary or other medical technician/specialist certification from an accredited program is preferred.
Mental/Physical Requirements
Ability to communicate detailed information clearly, read and understand written directions, and work effectively in a busy call center environment. Strong computer skills and a minimum typing speed of 60 wpm are necessary. Knowledge of medical terminology and scheduling is preferred. Occasionally lifting items up to 10 pounds and safe operation of a vehicle are required.
