This full-time, day shift role as an Appointment Coordinator involves scheduling patient appointments and supporting call center operations to enhance patient satisfaction and loyalty. You will assist with training new staff, maintain accurate contact information, and handle patient inquiries with professionalism and empathy.

Key Responsibilities

• Manage daily patient appointment scheduling and follow-up calls.
• Support operations by mentoring new team members and assisting the operations manager.
• Maintain and update patient contact records accurately.
• Address patient account balance inquiries in collaboration with the medical group business office.
• Handle distressed callers patiently, resolving issues or escalating when necessary.
• Contribute to team goals and participate in ongoing educational opportunities.
• Ensure smooth operation of office equipment such as printers and fax machines.

Education

High school diploma or equivalent required. Preferred candidates will have graduated from an accredited medical receptionist or similar program, or possess two years of experience in healthcare or customer service.

Experience

At least two years of experience in a general medical office or call center environment is required. Clinic experience is a plus.

Certifications

Medical secretary or other medical technician/specialist certification from an accredited program is preferred.

Requirements

• Strong oral communication skills and ability to convey detailed information clearly.
• Ability to work effectively in a busy contact center environment with distractions.
• Excellent computer skills, including a minimum typing speed of 60 wpm.
• Knowledge of medical terminology and staffing/scheduling is preferred.
• Ability to lift and transport items up to 10 pounds occasionally.
• Valid driver’s license and ability to operate a vehicle safely.
