Join a dynamic healthcare system serving the heart of the Midwest region as an Auxiliary and Volunteer Services Specialist. This role supports the management of financial operations, clerical duties, and fundraising efforts in close collaboration with leadership in auxiliary and volunteer services.
General Summary
The specialist will oversee daily department financial activities including processing requisitions, purchase requests, and maintaining accounts payable and receivable records using QuickBooks. You will also handle dispute resolution and gift shop claims within standard accounting practices.
Essential Duties and Responsibilities
- Manage financial operations for the department and auxiliary, including daily requisitions and vendor payments.
- Prepare board packets, minutes, and communications, effectively engaging with board members, volunteers, physicians, patients, and administrators.
- Support fundraising events, reconcile payroll deduction reports, and manage vendor rebates.
- Assist with cash register operations, volunteer training, and gift shop inventory management.
- Create and maintain an online gift shop platform to facilitate purchases for patients and visitors.
- Communicate clearly both verbally and in writing, produce accurate reports, and deliver presentations.
- Coordinate travel arrangements and payments for departmental and auxiliary board members.
- Develop volunteer appreciation materials and maintain departmental supply inventories.
- Manage databases, track volunteer hours, process applications, and maintain records efficiently.
- Supervise youth and college volunteer programs, including orientation and scheduling.
- Foster positive interactions with volunteers and contribute to a collaborative team environment.
Education
A bachelor’s or master’s degree in business, leadership, or a healthcare-related field is required.
Experience
At least three years of experience in similar departmental functions is necessary.
Certification
Certified Specialist Accounting and Finance (CSAF) or a comparable certification is preferred.
Mental and Physical Requirements
Ability to work effectively with diverse age groups including volunteers, coworkers, physicians, vendors, visitors, and patients. Must maintain confidentiality, handle detailed work with sustained concentration, and manage time pressures and interruptions.
Working Conditions
Standard office environment with frequent interaction across internal and external contacts.
