Join a dedicated healthcare team in the heart of the Midwest region, supporting physicians' clinics with professionalism and exceptional customer service. This role involves managing front desk operations and telephone communications with a warm and efficient approach.

General Summary

As a key representative of the clinics, you will greet patients respectfully, handle calls promptly, and ensure accurate collection and entry of demographic and insurance information. Maintaining patient confidentiality and adhering to privacy regulations is essential. You will schedule appointments following established protocols and assist patients and guardians with patient portal setup and registration processes.

Essential Duties and Responsibilities

  • Answer telephone calls promptly and direct them appropriately.
  • Welcome patients warmly and communicate clearly with patients and their families.
  • Obtain and accurately enter complete demographic and insurance details.
  • Maintain confidentiality and comply with protected health information regulations.
  • Schedule appointments according to clinic protocols.
  • Assist patients with patient portal registration and paperwork completion.
  • Make confirmation calls and guide patients to use the patient portal.
  • Show compassion and respect in all interactions.
  • Take accurate messages and process them timely.
  • Update patient demographic and other necessary forms at each encounter.
  • Verify insurance coverage and collect co-payments at the time of service.
  • Inform patients about their financial agreements with insurance carriers.
  • Work independently, accept accountability, and maintain focus under pressure.
  • Meet attendance and punctuality standards and be a collaborative team player.

Education

High School Diploma or equivalent required. Preference given to graduates of accredited medical receptionist programs or candidates with two years of healthcare experience.

Experience

Preferably two years of experience in a general medical office or similar healthcare setting. Equivalent customer service experience with responsibility will also be considered.

Certification/License

American Heart Association Basic Life Support (BLS) certification is required.

Mental/Physical Requirements

This role requires considerable mental concentration. Physical activities include lifting up to 35 lbs., frequent walking, standing, turning, carrying, pushing, pulling, stooping, crouching, twisting, and reaching.

Working Conditions

Work is performed in a medical office environment with occasional exposure to infectious diseases and potentially hostile individuals. Exposure to communicable diseases via blood and other body fluids is possible. Minimal physical discomfort is expected.
