General Summary
The Executive Assistant provides comprehensive administrative support under the guidance of the Executive Assistant to the CEO/SVP. This position requires strong organizational skills and the ability to handle multiple tasks in a fast-paced environment.
Essential Duties and Responsibilities
- Answer and direct phone calls to appropriate personnel or voicemail, ensuring all inquiries are addressed promptly.
- Record and distribute messages as necessary.
- Welcome and assist on-site visitors professionally, determining the nature of their business and notifying relevant staff.
- Manage calendar commitments for Executive Directors and Senior Vice Presidents by coordinating appointments and meetings.
- Collect, distribute, and prioritize incoming mail.
- Prepare various communications including memos, emails, invoices, reports, and other correspondence.
- Create and maintain both electronic and physical filing systems.
- Collect and report data as requested, meeting established deadlines.
- Attend meetings, take minutes, transcribe, and distribute them to attendees and designated team members.
- Maintain confidentiality to protect operational integrity.
- Provide backup support to the Executive Assistant to the CEO/SVP to optimize office operations.
Education
High school diploma or equivalent is required.
Experience
At least two years of relevant experience in a professional office environment is required, preferably in an administrative or clerical role.
Requirements
- Excellent organizational skills with the ability to prioritize and work independently.
- Strong oral and written communication skills, including spelling, grammar, and punctuation.
- High attention to detail.
- Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- Ability to operate general office equipment.
- Physical ability to perform tasks such as standing, walking, sitting, lifting, turning, carrying, pushing, pulling, stooping, crouching, twisting, and reaching.
