Join a dedicated healthcare team in the heart of the Midwest region, where your role as an Administrative Office Coordinator will be vital in supporting laboratory operations. This position involves managing outpatient and priority inpatient test orders, ensuring accuracy in billing, and providing compassionate assistance to patients and healthcare providers.

Key Responsibilities

  • Review and assign laboratory test orders, verifying diagnosis and physician signatures.
  • Collaborate with accounting to ensure billing accuracy and resolve discrepancies.
  • Provide warm, respectful communication to patients and customers both in person and via phone.
  • Explain laboratory protocols, specimen requirements, and test information while maintaining patient confidentiality.
  • Maintain an organized, professional office environment with clearly labeled storage and work areas.
  • Assist laboratory staff with data collection, quality reports, and training on order placement and results retrieval.
  • Perform electronic registration for specimen drop-offs and verify pre-authorizations as needed.
  • Communicate with physicians and patients regarding order clarifications, specimen recollections, and wait times.
  • Monitor specimen adequacy and ensure timely processing and transport to appropriate testing facilities.
  • Support pathology administrative duties when necessary, including phone coverage and message taking.
  • Participate in quality improvement and patient satisfaction initiatives within the department.

Education

High school diploma or equivalent required. Strong math and communication skills are essential. Specialized training in computer and word processing applications is preferred.

Experience

Minimum of three years of secretarial experience in a medical setting, including proficiency with word processing software and computer operations. Supervisory experience of at least one year is preferred.

Requirements

No specific certifications or licenses required. The role demands close mental and visual attention for short periods and the ability to lift or carry up to 10 pounds. Work is primarily sedentary with slight exposure to hazardous materials in a climate-controlled environment with moderate noise levels.
