General Summary
The Appointment Coordinator manages patient scheduling, assists with training and mentoring new staff, maintains accurate contact information, and follows up on patient appointment reminders. This position also supports the medical group business office by discussing outstanding account balances with patients and performing other duties as assigned.
Essential Duties and Responsibilities
- Support call center operations to improve patient satisfaction and increase appointment volume through effective customer relationship management and technology use.
- Project a professional and positive image during phone interactions, handling distressed callers with patience and empathy.
- Resolve patient concerns by clarifying issues, identifying solutions, and escalating complex problems to management when necessary.
- Contribute to team goals by completing related tasks and continuously updating job knowledge through educational opportunities.
- Maintain operational printer and fax equipment by following procedures and reporting malfunctions.
Education
High school diploma or equivalent required. Preferred candidates will have graduated from an accredited medical receptionist or similar program or have two years of experience in healthcare or customer service.
Experience
At least two years of experience in a general medical office or call center environment is required. Clinic experience is preferred.
Certification/License
Certification as a medical secretary or other medical technician/specialist from an accredited program is preferred.
Mental/Physical Requirements
Ability to communicate detailed information clearly, read and understand written directions, and work effectively in a busy contact center environment. Strong computer skills and a minimum typing speed of 60 words per minute are necessary. Knowledge of medical terminology and scheduling is preferred. Occasionally lifting items up to 10 pounds and safe operation of an automobile are required.
