Join a dedicated healthcare team serving a broad regional community in the Midwest. This full-time role as an Appointment Coordinator involves scheduling patient visits, supporting operations through training and mentoring new staff, and maintaining accurate contact records. You will play a key role in patient communication by making next-day appointment reminder calls and assisting with account balance discussions to support the medical business office.
Essential Duties and Responsibilities
- Support call center operations to enhance patient satisfaction and loyalty while increasing appointment volumes through excellent customer service and effective use of technology.
- Project a professional and positive image during all phone interactions, handling distressed callers with patience and empathy.
- Resolve patient concerns by clarifying issues, identifying causes, proposing solutions, and escalating complex matters to management when necessary.
- Contribute to team goals by completing related tasks and continuously updating job knowledge through educational opportunities.
- Maintain office equipment functionality by following procedures and reporting malfunctions promptly.
Education
High school diploma or equivalent required. Preferred candidates will have graduated from an accredited medical receptionist or similar program or have two years of experience in healthcare or customer service.
Experience
At least two years of experience in a general medical office or call center environment is required. Clinic experience is preferred.
Certification/License
Certification as a medical secretary or other medical technician/specialist from an accredited program is preferred.
Mental/Physical Requirements
Ability to communicate detailed information clearly, maintain focus in a busy contact center, and possess strong computer skills including a minimum typing speed of 60 wpm. Knowledge of medical terminology and scheduling is advantageous. Occasionally lifting items up to 10 pounds and safe operation of a vehicle are required.
