Join a dedicated healthcare team in the heart of the Midwest region, where your role as an Administrative Office Coordinator will be vital in supporting laboratory operations. This position involves managing outpatient and inpatient test orders, ensuring accuracy in billing, and providing compassionate assistance to patients and healthcare providers.

Key Responsibilities

  • Review and assign collection of all outpatient and priority inpatient laboratory orders.
  • Verify reference test orders against results and collaborate with accounting for billing accuracy.
  • Provide warm, respectful assistance to patients and customers both in person and via phone.
  • Explain laboratory protocols, specimen requirements, and test information while maintaining patient confidentiality.
  • Work collaboratively with laboratory staff to prioritize patient satisfaction and respond professionally to inquiries from patients, physicians, and nursing staff.
  • Maintain a neat and organized office environment, including labeling and organizing storage areas for ease of use.
  • Assist with data collection and quality reporting for laboratory operations.
  • Accurately place laboratory orders, ensuring proper documentation and timely follow-up on add-on orders to maintain specimen integrity.
  • Perform electronic registration for specimen drop-offs and verify pre-authorizations as needed.
  • Communicate with physicians’ offices to clarify orders and keep patients informed about wait times and specimen recollection needs.
  • Schedule outpatient specialty tests in coordination with staffing and pathologists.
  • Train laboratory staff on order placement, result retrieval, and record management.
  • Provide patient instructions for specimen collections and process urine drug screens.
  • Monitor specimen adequacy and ensure timely processing and accurate labeling.
  • Manage non-interfaced reference laboratory logs and follow up with vendors to ensure timely results.
  • Scan and enter test results into electronic health records and resolve outstanding issues in work queues.
  • Transport specimens and supplies between clinics and assist patients to other departments when needed.
  • Support pathology administrative duties as required, including phone coverage and message taking.
  • Participate in quality improvement and patient satisfaction initiatives.

Education

High school diploma or equivalent required. Strong math and communication skills are essential. Specialized training in computer and word processing is preferred.

Experience

Minimum of three years’ secretarial experience with a medical background, including proficiency in word processing and computer operations. Supervisory experience of at least one year is preferred.

Requirements

No specific certifications or licenses required. The role demands close mental and visual attention for short periods and involves sedentary work up to 45% of the time. Ability to lift or carry up to 10 pounds is necessary. Work environment includes slight exposure to hazardous materials and moderate noise levels in an air-conditioned setting.
