As an Appointment Coordinator, you will play a vital role in scheduling patient appointments, assisting with staff training, and maintaining accurate contact information to ensure smooth communication and patient satisfaction.
General Summary
This role involves managing patient appointment scheduling, supporting the operations manager with mentoring new team members, and handling patient inquiries regarding outstanding account balances. You will be a key contributor to enhancing customer service and fostering positive patient relationships through effective communication and problem resolution.
Essential Duties and Responsibilities
- Support call center operations to increase patient appointments and improve customer satisfaction using advanced customer relationship management tools.
- Project a professional and positive image during all phone interactions, demonstrating patience and understanding with distressed callers.
- Resolve patient concerns by identifying issues, explaining solutions clearly, and escalating complex matters when necessary.
- Contribute to team goals by completing related tasks and continuously updating job knowledge through educational opportunities.
- Maintain office equipment functionality by following procedures and reporting malfunctions promptly.
Education
High school diploma or equivalent required. Preferred candidates will have graduated from an accredited medical receptionist or similar program or possess two years of experience in healthcare or customer service settings.
Experience
At least two years of experience in a general medical office or call center environment is required. Clinic experience is highly desirable.
Certification/License
Medical secretary or other medical technician/specialist certification from an accredited program is preferred.
Mental/Physical Requirements
Ability to communicate detailed information clearly, maintain focus in a busy call center environment, and possess excellent computer skills including a minimum typing speed of 60 wpm. Knowledge of medical terminology and scheduling systems is advantageous. Occasionally lifting items up to 10 pounds and safely operating a vehicle may be required.
