Job Details

Summary: Facilitate smooth patient flow within the clinic by efficiently managing patient registration, appointment scheduling, and accurate medical record maintenance. Ensure timely and precise submission of billing information and reports, while providing excellent customer service to patients and visitors.

Major Responsibilities:

  • Register patients promptly, collecting accurate personal and insurance information.
  • Schedule appointments for initial visits, follow-ups, and procedures, ensuring proper allocation of provider time.
  • Maintain and update patient medical records, including new patient information.
  • Handle incoming calls to coordinate appointments, determining appropriate provider and visit type.
  • Collect payments such as co-pays and deductibles, document transactions, and prepare daily cash reports.
  • Order and schedule outside tests as requested by providers.
  • Enter ICD-10 and CPT-4 codes for patient charges and documentation.
  • Transcribe non-medical dictation and submit billing invoices daily under supervision.
  • File, fax, and mail reports and records; compile monthly reports promptly.
  • Assist with supply inventory tracking and notify supervisors when reordering is needed.
  • Serve as receptionist by greeting patients and answering phones in a courteous manner.
  • Support non-invasive medical procedures or act as a security observer when required.
  • Direct emergency messages and assist administrative/medical staff as needed.

Education:

High school diploma or equivalent required. Business-related coursework is preferred.

Experience:

1-2 years of clerical experience, preferably in a medical office or a role involving significant public contact.

Skills and Abilities:

  • Familiarity with medical terminology and basic PC skills preferred.
  • Typing speed of 45-55 words per minute with accuracy.
  • Strong organizational and planning skills.
  • Ability to communicate effectively and handle patients under stress with tact.
  • Knowledge of ICD-10 and CPT-4 coding for outpatient billing is a plus.

Physical Requirements:

Must have visual and auditory acuity to read data and converse clearly. Manual dexterity and ability to lift, stoop, bend, kneel, and reach are necessary.
