Summary: Facilitate smooth patient flow within a busy outpatient clinic by managing patient registration, scheduling, and accurate medical record maintenance. Ensure timely and precise submission of billing information and reports, supporting efficient clinic operations.

Key Responsibilities:

• Register patients promptly, collecting accurate information and updating medical records.
• Schedule appointments for initial visits, follow-ups, and procedures, coordinating with providers to determine appropriate timing and type.
• Handle patient payments, including co-pays and deductibles, and prepare daily cash reports.
• Order and schedule outside tests as requested by physicians.
• Enter ICD-10 and CPT-4 codes for patient activities and procedures into the data system daily.
• Transcribe non-medical dictation and submit billing invoices under supervision.
• File, fax, and mail reports and records; compile monthly reports promptly.
• Assist with supply inventory tracking and notify supervisors when reordering is needed.
• Serve as receptionist, greeting patients and answering phones in a courteous manner.
• Support non-invasive medical procedures or act as a security observer when required.
• Direct emergency messages and assist administrative/medical staff as needed.

Education: High school diploma or equivalent required; business-related coursework preferred.

Experience: 1-2 years of clerical experience preferred, especially in medical business offices or roles involving significant public contact.

Skills and Abilities: Familiarity with medical terminology and ICD-10/CPT-4 coding preferred. Proficient PC skills and typing speed of 45-55 words per minute. Strong organizational skills, tact, and ability to handle patients under stress. Effective verbal communication and auditory skills are essential.

Physical Requirements: Ability to read printed data and monitor screens, manual dexterity, and capability to lift, stoop, bend, kneel, and reach.
