Join a dynamic healthcare team as an Administrative Office Coordinator, where you will play a vital role in managing office operations and supporting clinical staff in a bustling regional medical center located in the Southeastern United States. This full-time, day-shift position involves a variety of clerical and secretarial duties designed to keep the department running smoothly.
Key Responsibilities
- Greet visitors and manage incoming telephone calls, providing information and directing inquiries to appropriate community resources.
- Compose and type correspondence, reports, memoranda, and forms with accuracy and professionalism.
- Maintain employee files and records in compliance with government regulations, ensuring all documentation is current and audit-ready.
- Assist with employee education tracking and certification compliance.
- Manage timekeeping and payroll review for providers and nursing staff.
- Publish and distribute provider schedules and on-call calendars, coordinating coverage to ensure seamless unit operations.
- Support new employee onboarding, scheduling, and training activities.
- Prepare agendas, schedule meetings, take and transcribe minutes, and distribute them to relevant parties.
- Handle correspondence coordination with staff, providers, and vendors.
- Process reimbursements, purchase requisitions, and travel/education requests.
- Maintain inventory and order medical and non-medical supplies as needed.
- Generate reports and graphs based on electronic health record data.
- Assist with annual performance evaluations and audits.
- Distribute mail and faxes and perform other duties as assigned.
Education
High school diploma or equivalent required; Associate Degree in a relevant field preferred.
Experience
Minimum of 2 years of office or administrative experience required; healthcare experience is a plus.
Skills and Abilities
- Strong clerical and administrative skills, including proofreading, filing, and organizing.
- Excellent written and verbal communication skills with attention to grammar and punctuation.
- Ability to interact tactfully and diplomatically with management, physicians, patients, visitors, and external organizations.
- Demonstrated leadership and organizational abilities.
- Comfortable managing multiple projects simultaneously with strong time management skills.
- Proficiency in advanced computer applications such as Excel, PowerPoint, and Word.
Physical Requirements
Ability to sit or stand for extended periods, reach, stoop, kneel, and occasionally lift up to 15 pounds. Good motor coordination and finger dexterity required for computer use. Near visual acuity necessary for proofreading and operating word processing software.
