Where Executive Support Meets Operations, Technology, and Entrepreneurship

This is not a traditional Office Manager position, and it is not a conventional corporate Chief of Staff role.

INOV8 Orthopedics is seeking an exceptionally capable, resourceful, and technology-forward professional to work closely with Dr. Stefan Kreuzer and become a central operating partner across his clinical practice, business activities, technology initiatives, and entrepreneurial endeavors.

The right person will operate somewhere at the intersection of Chief of Staff, Executive Office Manager, Executive Assistant, Operations Manager, Project Manager, and Technology Coordinator. On any given day, that might mean improving the way the medical office operates, coordinating a project involving new software, preparing information for an important meeting, solving an administrative problem before it reaches Dr. Kreuzer, communicating with an outside business partner, researching a new opportunity, or simply making sure the dozens of moving pieces surrounding a busy surgeon and entrepreneur continue moving in the right direction.

The common denominator is ownership.

This position is designed for someone who sees an unfinished task and finishes it, encounters a problem and works toward a solution, learns unfamiliar technology rather than avoiding it, and can move comfortably between detailed administrative work and higher-level business initiatives.

That breadth reflects the environment. INOV8 Orthopedics is a Houston orthopedic practice focused on advanced orthopedic surgery, sports medicine, physical therapy, and outpatient total joint replacement. The organization uses technologies including robotic-assisted surgery, computer navigation, digital surgical planning, and patient-specific orthopedic technology.

Dr. Kreuzer's work extends beyond his clinical practice. He is a board-certified and fellowship-trained orthopedic surgeon who specializes in outpatient and computer-assisted joint replacement. He has participated in the development of robotic joint-replacement technology, works with medical-device design teams and software companies, serves on medical advisory boards, and has ongoing research and academic interests. (Inov8 Orthopedics)

That combination makes this an unusually broad executive support opportunity.

The Role

The Executive Office Manager / Chief of Staff will serve as a trusted operational extension of Dr. Kreuzer, helping convert priorities, ideas, obligations, and opportunities into organized execution.

There will be a meaningful office-management and executive-support foundation to the position. The individual must be willing to handle practical administrative responsibilities and cannot view those responsibilities as beneath a Chief of Staff title.

At the same time, the position goes substantially beyond office administration.

You will help manage projects, evaluate and support software solutions, coordinate across internal and external stakeholders, organize information, improve workflows, conduct research, follow up on commitments, and support business and entrepreneurial projects that may sit outside the normal boundaries of an orthopedic practice.

In short, the job is to create leverage.

Dr. Kreuzer should be able to hand you a problem, project, idea, or objective and trust that you will determine what needs to happen next, organize the necessary people and information, maintain momentum, and bring it back to him when a decision or his direct involvement is genuinely required.

What You'll Own

Executive Support & Chief of Staff Responsibilities

  • Serve as a primary organizational and operational partner to Dr. Kreuzer.
  • Manage competing priorities across clinical, administrative, business, technology, and entrepreneurial activities.
  • Maintain visibility into important projects, commitments, deadlines, meetings, and follow-up items.
  • Prepare agendas, briefing materials, presentations, correspondence, reports, and other executive materials.
  • Attend selected meetings, capture decisions and action items, and ensure commitments translate into execution.
  • Coordinate communication with physicians, employees, vendors, consultants, technology partners, business associates, and other stakeholders.
  • Conduct research and synthesize information so decisions can be made efficiently.
  • Anticipate problems and administrative requirements before they become urgent.
  • Protect executive time by determining what requires Dr. Kreuzer's attention and what can be independently resolved.

Office Management & Practice Operations

This role requires someone willing to move between strategy and execution.

Responsibilities may include:

  • Support day-to-day organization of the executive and administrative office.
  • Help improve administrative workflows and operating procedures.
  • Coordinate vendors, contracts, services, supplies, and office requirements as needed.
  • Troubleshoot operational issues and drive them to resolution.
  • Help establish repeatable systems for activities currently dependent on manual follow-up.
  • Coordinate across clinical and administrative teams when projects cross departmental boundaries.
  • Maintain highly organized digital records, project files, documentation, and executive information.
  • Identify inefficiencies and recommend practical improvements.
  • Handle sensitive personnel, financial, business, and patient-related information with appropriate discretion and confidentiality.

Technology, Software & Process Improvement

Technology aptitude is a significant component of this position.

INOV8's clinical model already incorporates sophisticated orthopedic technology. Its published technology platform includes robotic-assisted knee replacement, computer-assisted surgical planning, optical navigation, and other technologies designed to individualize joint-replacement procedures.

The person in this role does not need to be a software engineer. They do need to be the kind of person who is comfortable learning software, understanding how systems fit together, working with technical vendors, and figuring out how technology can eliminate unnecessary work.

Potential responsibilities include:

  • Evaluate software and technology solutions for business and operational use.
  • Assist with software implementations, configuration, testing, training, and adoption.
  • Translate business requirements between Dr. Kreuzer, employees, vendors, developers, and consultants.
  • Document workflows and identify opportunities for automation.
  • Support data organization, reporting, dashboards, and information management.
  • Troubleshoot routine technology issues and coordinate more complex issues with appropriate technical resources.
  • Research emerging AI, automation, productivity, healthcare, and business technologies.
  • Experiment responsibly with new tools and determine whether they solve a meaningful business problem.
  • Help ensure that new technology actually gets adopted rather than simply purchased.

Experience with modern productivity suites, project-management platforms, CRM systems, AI tools, automation platforms, spreadsheets, cloud software, and healthcare technology would be particularly useful.

Special Projects & Entrepreneurial Initiatives

One of the distinguishing features of this opportunity is that the role will not necessarily stop at the doors of the medical practice.

Dr. Kreuzer's professional activities include work with medical-device companies, software companies, advisory boards, research, surgical technology development, and other initiatives beyond routine patient care.

Accordingly, this person may be asked to help with projects such as:

  • Researching a new business concept or technology.
  • Organizing an early-stage initiative from idea through execution.
  • Coordinating with attorneys, accountants, consultants, developers, investors, or commercial partners.
  • Preparing presentations and business materials.
  • Performing competitive and market research.
  • Managing project timelines and deliverables.
  • Supporting technology-development initiatives.
  • Helping evaluate vendors and commercial proposals.
  • Coordinating meetings and follow-up with external partners.
  • Building operating processes around a new project.
  • Taking ownership of miscellaneous high-priority projects that do not fit neatly into anyone else's job description.

Some projects will arrive with detailed instructions. Others may begin with little more than an objective.

The ability to operate effectively in both situations is essential.

Who Will Succeed Here

The strongest candidate is unlikely to define themselves by a single administrative specialty.

You may have developed your career through executive operations, healthcare administration, professional services, entrepreneurship, consulting, technology, project management, private-equity portfolio operations, family-office support, or high-level executive assistance.

More important is how you operate.

You are likely to succeed if you:

  • Have unusually strong organizational skills and follow-through.
  • Are comfortable working directly with a demanding, highly accomplished executive.
  • Can distinguish between something that is merely urgent and something that is actually important.
  • Take ownership without requiring constant supervision.
  • Enjoy solving ambiguous problems.
  • Can research unfamiliar subjects quickly and intelligently.
  • Communicate concisely and professionally.
  • Are comfortable with technology and learn new software quickly.
  • Understand that a senior title does not eliminate basic administrative responsibilities.
  • Can move from preparing a document to solving a software problem to coordinating an important external meeting without losing momentum.
  • Know when to make a decision independently and when to escalate.
  • Maintain confidentiality without exception.
  • Prefer variety to a narrowly defined job description.
  • Have the judgment to represent an executive professionally when he is not in the room.

Qualifications

Education

A bachelor's degree is preferred, particularly in Business Administration, Healthcare Administration, Management, Finance, Technology, Communications, or a related discipline.

An MBA, MHA, or other relevant graduate degree may be advantageous but is not required.

Equivalent high-level professional experience should be considered.

Experience

Competitive candidates will generally bring substantial experience in one or more of the following:

  • Chief of Staff
  • Executive Operations
  • Executive Office Management
  • Healthcare Administration
  • Practice Management
  • Executive Assistant / Senior Executive Assistant
  • Business Operations
  • Project Management
  • Technology Implementation
  • Entrepreneurial or Start-Up Operations

Experience directly supporting a founder, physician executive, entrepreneur, CEO, managing partner, or similarly high-output principal would be particularly relevant.

Healthcare or orthopedic experience is useful but should not be mandatory if the candidate demonstrates exceptional executive judgment, operating ability, and technical aptitude.

Technology Skills

Candidates should be highly comfortable with:

  • Microsoft Office / Microsoft 365
  • Excel and data organization
  • PowerPoint and executive presentations
  • Cloud-based collaboration tools
  • Project and task management software
  • AI productivity tools
  • Research and information synthesis
  • Software implementation and adoption
  • Digital workflow improvement

Experience with healthcare software, EMR/EHR systems, CRM platforms, automation tools, databases, analytics, or software-development projects is advantageous.

The Attributes That Matter Most

Judgment

You will have access to sensitive information and will regularly encounter situations where there is no written procedure. Sound judgment is essential.

Ownership

If you say something will get done, it gets done. Projects should not require repeated reminders or executive intervention to maintain momentum.

Resourcefulness

"I don't know" is an acceptable starting point. It cannot routinely be the ending point.

Technology Fluency

You do not need to write production software, but technology should interest rather than intimidate you. You should be comfortable learning new systems and determining how they can improve the way people work.

Executive Communication

You should be able to reduce a complicated issue to the information necessary for a decision. Long explanations are not a substitute for clarity.

Attention to Detail

Calendars, contracts, presentations, project plans, financial information, communications, and operational details all require accuracy.

Discretion

The position will involve confidential medical-practice, personnel, financial, business, and potentially proprietary information. Mature discretion is fundamental.

Range

Perhaps most importantly, you must be willing and able to operate at multiple altitudes. Some days require strategic thinking. Some require project management. Some require administrative execution. Strong candidates will not artificially separate those categories.

Compensation

Target Base Salary: Approximately $150,000 per year

Final compensation should reflect the candidate's experience, capabilities, and the ultimate scope of the position.

Given the breadth envisioned for the role, this should be positioned as a senior executive-operations opportunity rather than a conventional medical-office management position.

Why INOV8 Orthopedics

INOV8 is built around the premise that innovation should materially improve patient care. The Houston practice combines orthopedic surgery, sports medicine, rehabilitation, and outpatient joint replacement with advanced surgical technologies and individualized treatment. Its physicians include four board-certified orthopedic surgeons, and its clinical offerings span hip, knee, shoulder, elbow, sports medicine, and physical therapy.

For this particular position, however, the attraction goes beyond healthcare.

Working alongside Dr. Kreuzer means operating around someone whose career crosses clinical medicine, robotic surgery, medical-device development, software, research, education, advisory work, and entrepreneurship. His professional biography describes involvement in the development of computer-assisted and robotic joint-replacement systems as well as ongoing work with device and software companies.

For the right operator, that creates something unusual: a Chief of Staff role where the scope is defined less by a department and more by the problems worth solving.

Build the Infrastructure Behind the Ideas

This position is for someone who gets satisfaction from making complex things work.

You may begin the morning solving an office issue, spend midday helping evaluate a technology initiative, and finish the afternoon preparing Dr. Kreuzer for a meeting involving an entirely different business opportunity. The next day may look completely different.

If you need a rigidly bounded job description, this probably is not the right position.

If you are energized by responsibility, technology, entrepreneurship, healthcare, and the opportunity to become the trusted person who brings structure and execution to a wide range of initiatives, it could be an exceptional fit.
