Job Summary
As an Administrative Foundation Coordinator, you will manage a broad range of clerical tasks, provide excellent customer service to both internal teams and external stakeholders, and support special projects and events. Your role will be pivotal in maintaining donor databases, coordinating communications, and assisting with financial documentation related to foundation activities.
Key Responsibilities
- Perform routine and complex administrative duties including answering calls, managing correspondence, and preparing professional documents.
- Coordinate and prioritize administrative support to meet deadlines and objectives.
- Maintain and audit donor database systems, process donations, track pledges, and generate reports.
- Provide exceptional customer service while handling sensitive and confidential information with discretion.
- Support event preparations and staffing, including community development activities and youth collaborative programs.
- Assist with foundation board and committee meetings, including scheduling and documentation.
- Manage day-to-day financial records, accounts payable, and scholarship coordination.
- Fill in as needed for executive assistant duties during absences.
Education and Experience
- High school diploma or equivalent required; Associate’s degree preferred.
- Minimum of three years clerical or administrative experience supporting leadership roles.
- Experience in foundation, nonprofit, or healthcare settings is advantageous.
Skills and Abilities
- Proficient with office procedures and technology, including intermediate to advanced Microsoft Office skills.
- Strong written and verbal communication skills with attention to grammar and professionalism.
- Ability to manage confidential information responsibly.
- Knowledge of accounting processes, reconciliations, and financial reporting.
- Excellent organizational, problem-solving, and multitasking abilities.
- Demonstrated teamwork, collaboration, and customer service skills.
